Why can I not see the Email System option in the side menu?

There are two possible reasons:

Your account does not include the email module. To add, please contact customer support.

OR

Your account is limited by the primary user to not allow you to access the email module. This setting has been made by the account’s primary user. Your account’s primary user can change permissions in the Sub-User Accounts section of their account.

 

How do I schedule an email storyboard?

To schedule, select “Email System” in the side menu. Under “Select a Category," select the individual storyboard that you want to send to your customer. These categories are customized to the industry and sub-industry your primary user selected when creating your e-Contact System account.

  • Select the email you wish to send.
  • On the schedule screen:
    • Give your email a name, recipients will not see this name, it is for your purposes only.
    • Select who the email is from. Depending on your permission settings, you may be limited to only sending emails out from your account.
    • Select the group or groups you wish to send the email to. If a recipient is in multiple groups, they will only receive one email.
    • Select the month(s) and day of each month to send out the email.
    • Select from pre-written messages and subject lines or create your own.
    • You are able to preview or schedule the email. If you preview the email, it will save the unscheduled email and allow for you to return to make adjustments at a later time. Unscheduled emails will appear in the “Not Scheduled” area of the main Email System window. Clicking on the magnifying glass will let you edit and schedule the email.

 

How do I schedule a custom email?

To schedule, select “Email System” in the side menu. Under “Select a Category," select “Create Your Own Email."

On the schedule screen:

  • Give your email a name, recipients will not see this name, it is for your purposes only.
  • Select who the email is from. Depending on your permission settings, you may be limited to only sending emails out from your account.
  • Select the group or groups you wish to send the email to. If a recipient is in multiple groups, they will only receive one email.
  • Select the month(s) and day of each month to send out the email.
  • You have the option to upload an image. Images larger than 600px x 600px will be resized proportionally to a maximum of 600px x 600px. You are able to upload JPEG, GIF or PNG files only.
  • Give your email a subject line and custom text.
  • You are able to preview or schedule the email. If you preview the email, it will save the unscheduled email and allow for you to return to make adjustments at a later time. Unscheduled emails will appear in the “Not Scheduled” area of the main Email System window. Clicking on the magnifying glass will let you edit and schedule the email.

 

What does the information in the sent emails mean?

  • Send Date – the date the email was sent
  • Status  - the status of the email (whether it is sending or sent)
  • Emails Sent – number of emails sent
  • Opened  - the number of recipients who viewed the email. Please note that e-Contact System uses standard industry procedures to track if an email has been opened or not. If the recipient of the email does has limited or disabled the ability to view images in an email, the email is not able to be tracked.
  • Viewed  - The number of recipients who have view the storyboard presentation. For custom emails, this will remain at 0 because there are no storyboards to view.
  • Responses – The number of recipients who responded through the online form.
  • Social Media – The number of people who viewed the storyboard from a Facebook or Twitter link.
  • Unsubscribed – The number of people who opted-out or unsubscribed to receive emails from your account.
  • Errors – The number of errors reported while trying to send out an email. This is typically because of improperly formatted email addresses.
